Terms of Service
The agreement between Laurel and the club or event using it. It is written to be read by a volunteer rather than a lawyer, and the two clauses that matter most are 4 and 11.

1This agreement
These terms are between Manika Anand Thilakan, a sole proprietor based in Dallas, Texas (“Laurel”, “we”), and the organization or person using the service (“you”). Creating an account or publishing an event means you accept them. If you are agreeing on behalf of a club, you are confirming you are allowed to.
They sit alongside our Privacy Policy, which describes what we hold and for how long.
2What Laurel does
You upload your event’s results, choose a design, and publish. Laurel builds a personalized certificate for each finisher, gives them a page to find and download it, and can email them a link to it. Each certificate carries a code that anyone can use to check it is genuine.
Laurel is software, not a printer or a mailing house. Nothing is posted. Everything it produces is a picture file the finisher downloads.
3Your account
You need an email address to sign in and you are responsible for what happens under your account. Anyone you add to your club can see and change your events, so add people you trust. Tell us at support@getlaurel.co if you think someone has got in who should not have.
You must be at least 18 to hold an account.
4Your list, and what you are promising about it
This is the important one. When you upload a list of finishers, you are giving us other people’s names and email addresses and asking us to email them. You are the one who knows whether that is alright; we have no way of knowing.
By uploading a list, you confirm that:
- you are entitled to hold those names and addresses, and to have us use them for this;
- the people on it would reasonably expect to hear from you about the event they took part in;
- you are not uploading anyone who has asked you to stop contacting them;
- the list is your event’s actual results and not a marketing list, a membership export, or a list bought from anywhere.
The list stays yours. We use it to make and deliver certificates for your event and for nothing else. We do not sell it, share it with other clubs, market to it, or use it to train anything.
In data-protection terms: you decide what goes on the list and why, and we process it on your instruction. If someone on your list asks to be removed, tell us and we will delete them.
5What it costs
Laurel charges per event, by how many people finished. There is no subscription and no charge per finisher. Every feature is included at every price.

Your club’s first published event comes with an allowance of 50 finishers, once. Under that, the event is free. Over it, the event is not refused — it is priced on the finishers above the allowance, so you are charged as though 50 fewer people finished.
You pay when you publish, and designing and setting up an event costs nothing. If you later add finishers and cross into a higher band, you pay the difference before that event sends again — never the full price twice. Prices are in US dollars and exclude any tax that applies where you are.
Payment is taken by Stripe. We do not see or store your card details.
Reopening a past event, or running the same event again next year, is not covered by a payment you have already made. Write to support@getlaurel.co and we will sort it out with you.
6Refunds
If Laurel does not do what this page says it does, tell us and we will refund you. Specifically: if you have paid for an event and something on our side stops your finishers getting their certificates, and we cannot put it right, you get your money back for that event.
Because an event’s price is set by the number of people who finished, an event that turns out smaller than you expected is not refunded automatically — but ask, and a person will look at it.
We do not refund an event that ran, sent, and had its certificates collected because you changed your mind afterwards.
7How long we keep your event
An event is searchable for 30 days from the day you publish it. After that it closes and is archived. On day 60 we permanently delete the finisher list — names, addresses and all — and keep only the totals for your own history. We email you before that happens.
Certificates your finishers have already downloaded are theirs and are unaffected. Every one continues to verify afterwards, because the proof travels inside the certificate rather than being looked up here.
The full timeline is in the Privacy Policy. If you need a copy of your list before it goes, ask us while the event still exists — after deletion we have nothing to send you.
8Email we send for you
Laurel sends the certificate emails, not you, from our own domain with your club’s name on them. That is what keeps them arriving rather than landing in spam, and it means we set the rules for them:
- every email carries an unsubscribe link;
- a finisher who unsubscribes, bounces, or reports an email as spam is never emailed by Laurel again, for any club;
- a finisher gets one email when their certificate is ready and at most one reminder.
You cannot switch the unsubscribe off, and we cannot tell you who has unsubscribed — that list is kept in a form we cannot read back. Both of those protect the thing every club on Laurel shares: whether our email arrives at all.
9Your logo, and our mark
Your logo, name and colors stay yours. By uploading them you let us use them to build and display your certificates and your event’s pages, and nowhere else. If you want us to show your event as an example of what Laurel makes, we will ask you first.
Every certificate carries a small Laurel mark — the verification code and the line pointing at getlaurel.co. It is on every certificate at every price, and it must not be removed or covered. It is the code, so removing it is removing the ability to check the certificate is real.
The service itself, its designs and its software remain ours. You get the right to use it for your events, not a license to copy it.
10What you must not do
- Issue certificates for something that did not happen, or to people who did not do it.
- Upload a list you are not entitled to, or use Laurel to send anything that is not about the event those people took part in.
- Put anything on a certificate that is abusive, misleading, or infringes someone else’s rights.
- Try to break, overload, scrape or reverse-engineer the service, or get at another club’s data.
- Resell Laurel or present it as your own product.
We can suspend or close an account that does any of this. Where we reasonably can, we will tell you first.
11What verification actually claims
Scanning a certificate’s code tells you one thing: this certificate matches what the club gave us, and has not been altered.
It is not a statement that:
- the event took place;
- the result is accurate, or was timed or judged by anybody;
- the person named is the person holding it, or anything about who they are.
Laurel has no way to know any of those. We check the certificate against the club’s own list. Anyone relying on a certificate for something that matters — a qualification, an entry, a prize — should check with the club that ran the event.
12Availability and support
We aim to keep Laurel running and we do not promise it always will be. There is no uptime guarantee, no guaranteed response time, and no support phone number. What there is: support@getlaurel.co, read by a person.
We may change or remove features. If a change materially reduces what you have already paid for on a live event, tell us and we will make it right.
13Liability
Laurel is provided as it is. To the extent the law allows, we make no warranties beyond what is written here, including any implied warranty that it is fit for a particular purpose.
Our total liability to you for anything arising out of these terms is capped at what you have paid us for the event concerned in the twelve months before the claim. We are not liable for lost profits, lost goodwill, or indirect losses.
You are responsible for what you upload. If a claim is brought against us because of the list you gave us or the content you put on a certificate, you will cover our reasonable costs of dealing with it.
Nothing here limits liability that cannot legally be limited, including for fraud.
14Ending it
You can stop using Laurel and close your account whenever you like. Closing an account does not automatically refund a published event, and does not shorten an event’s deletion timeline — if you want your data gone sooner, say so and we will delete it.
We can close an account that breaks clause 10, or with reasonable notice if we stop offering the service. If we shut Laurel down, we will give you notice and time to get your data out.
15The rest
We may update these terms. If a change matters, we will change the date at the top and email account holders. Continuing to use Laurel after that means accepting the new version; an event you have already paid for keeps the terms it was published under.
These terms are governed by the law of the State of Texas, USA, and disputes go to the courts of Dallas County, Texas. If part of this agreement turns out to be unenforceable, the rest still stands. You cannot transfer this agreement without our agreement; we can transfer it if the business does.
